1st user
1 special user, typically 'admin' is automatically set up in advance (in the reference database), with a known GUID.
To get into a database, the data base must have either:
- 1 paid license, like WO4, WO7, Admin1,
- or one of a small number of special DataHubTokens, APIKey licenses
Condition 1: Accruent MC, new MCe users
In 2025 this is our 'normal' case. We almost always have Accruent MC as part of our solution for a customer.
To be a user in MCe, users must be one of:
- service requester. This is the most common one chosen for MCe users, this keeps them out of accidentally consuming an MC license, and their rights are then fully controlled in MCe.
- MRO, This lets them use both
- Technician work center
Condition 2: Never any MC users, brand new MCe
Think early 2003, before we added support to be compatible with Accruent MC, or anytime since when not using Accruent MC, but we currently do this manually because we have so few customers that use MCe without MRO, and setting up the 1st user isn't all that hard in the database.
Assign the 'useful' licenses
Decide who can access the Technician, Admin, advanced report writer and so on licenses. Generally do this by access group.

2nd+ user:
Sign-up to a database
Get approved
Log in. Because your administrator has set up access to licenses, typically by access group, you will get the licenses you should automatically.
