Timesheet entry setup
and use

Unless your admin has removed it, the Home page will have 'Timesheet' as one of the options.

Changes that can be done by administrators, not individual users

Though if there is a need, administrators can set it up specifically for an individual user or access group.

It is common for your admin to remove some unnecessary columns, removing one or more of:

  • Type (if all time is regular)
  • Account
  • Category
  • Comments
  • One or more days of the week if you 'never' work specific days of the week
  • The terminal column 'total' (total for the work order/type)

The fewer columns you have, the wider you can make them to see the full header for a given window or device width.

Changes users can make:

It's worth spending a bit of time the 1st time to set it up to work nicely for you. The changes discussed below are remembered by device and browser.

You can change the width of columns to fit nicely for your normal working window width on this device.

Now let's use it:

Totals are shown at the top and contain all the totals from the live rows. Rows you are 'thinking about' adding from the "Possible Entries" don't count into the daily counts until you commit them. You can edit them after you commit them.

The 1st 'Possible Entries' row is blank for you to pick a work order and other values. Until you have on the row a work order and one hour value (can be a fraction of an hour such as 0.2, it doesn't have to be an integer), the row is not ready to be saved.

The row below is not ready because it doesn't have a WO picked

Shows a row that has a value, but isn't allowed to be saved yet because there is no Work order yet

The row below is not ready because it doesn't have any hours entered

Shows a row that has a Work Order, but isn't allowed to be saved yet because there is no hours yet

Once it is ready to be saved the row will show up with green strips (Since color deficiencies aka color blindness is either red/green or blue/yellow, the steel grey/blue switching to green should be visible to most people.)

Shows a row ready to be saved, it has a work order and at least one value for hours

The icon beside the row(s) save button shows how many rows will be saved. 1 in the example below:

Shows there is 1 row ready to be saved

and two in the example below:

Shows there are 2 rows ready to be saved

The following buttons let you move to 'today', or move back or forward one week at a time.

If you have an admin level license, you will be able to edit the timesheets for others.
